Workstars Global Ltd. (“Workstars”, “We”, “Us”, or “Our”) is committed to protecting the privacy of your personal information while using our Social Employee Recognition platform (Service). We have established this Privacy Policy (“Policy”) to describe how we process your personal data if and when you use our portal or provide information to us in connection with your use of the Service as an authorised user.

Who We Are

We are Workstars Global Ltd. registered in England and Wales with company number 03608590. Our registered office is:

Workstars Global Ltd
Suite 83, Courthill House
60 Water Lane
Wilmslow

How We Process Personal Data

Workstars uses your personal data including your use of the Service to fulfil our contract with your employer and to operate and make the Service available to you, identify and authenticate you, to contact you about your use of the Service, for research purposes and to generally improve the content, functionality and security of the platform and the Service.

Data Controller

Our clients (your Employer) are the controller of your data and are responsible for providing notice to you concerning the information they collect and share with Workstars as part of the use of our Service.

Processor

Workstars operate as a data processor under contract with your employer (or as a sub-processor on behalf of one of our resellers) inline with the terms of the Regulation (EU) 2016/679 General Data Protection Regulation (GDPR). If you have any questions regarding your data, you should discuss them with your HR Department. However, you may also contact our Data Protection Officer at privacy@workstars.com.

The Information We Process

Information your employer provides

When your employer registers for the Service, they send us a first and last name, company name, department, job title, role, manager, email or postal address, start date and employee ID. After the initial registration, Workstars may collect additional information directly from you to enable us to fulfill our obligations (e.g. month/year of birth for anniversaries, delivery address for a redemption, etc.); however, Workstars never directly collects any end user information, personal or otherwise, without the explicit direction of your employer.

Cookies

When you visit the portal or use the Service, we use session “cookies” – a piece of information stored on your computer – to allow the portal or Service to uniquely identify your browser while you are logged in and to enable Workstars to process your online transactions. Please see the “Use of Cookies” section for further information.

Clear Gifs

We also use third party tracking tools that employ a software technology called clear gifs (a.k.a. Web Beacons/ Web Bugs), to help us better manage content on our site by informing us what content is effective. Clear gifs are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the movements of the visitors to our portal. In contrast to cookies, which are stored on a user’s computer hard drive, clear gifs are embedded invisibly on Web pages and are about the size of the period at the end of this sentence. We tie the information gathered by clear gifs to our users and clients in order to optimize and enhance the portal and Service experience.

Log Files

As is true of most websites, we and our third party utility-tracking partners gather certain information automatically and store it in log files. This information includes Internet protocol (IP) addresses, browser type, Internet service provider (ISP), referring/exit pages, operating system, date/time stamp and click stream data.

HTML5

We use Local Storage, such as HTML5, to store content information and preferences. Various browsers may offer their own management tools for removing HTML5 Local Storage.

Analytics & Marketing

Workstars uses analytics to only analyse the usage of our platform for the purpose of improving our Service. We do not mine your data for advertising purposes or share it with anyone.

If you do not provide the listed personal data to us, you will not be able to use our Service.

Sharing Information With Third Parties

Workstars uses third party suppliers to fulfill any rewards you redeem. These third parties are only permitted to store, retain or use this information for the sole purpose of delivering your reward on Workstar’s behalf.

Workstars may also transmit personal data to its third party vendors and the hosting partners that provide the necessary hardware, software, networking, storage, and other technology and maintenance services required to operate and maintain the portal and the Service. Transfers to subsequent third parties are covered by a contract with your employer. This may require that your personal data be transferred to the offices and servers of Workstars and our authorised third parties.

Recipients of the Personal Data

We share personal data with the following categories of recipients:

  • Hosting providers
  • Analytics software providers
  • Customer support software providers
  • Email service providers
  • Card providers
  • Voucher providers
  • Merchandise providers

A list of our current subprocessors and a copy of the respective safeguards is available to our clients on request.

Sharing Your Information

Except as described in this Policy, Workstars will not give, sell, rent, share or loan any personal information to any third party other than as outlined in this Policy.

Business Transitions

If Workstars is involved in a merger, acquisition, or sale of all or a portion of its assets, your employer will be notified via email and/or a prominent notice on our administration portal of any change in ownership or uses of your personal information, as well as any choices they may have regarding your personal data.

Statistical analysis

Workstars may provide non-personal, summary or group statistics about our customers, sales, traffic patterns, and related portal information to reputable third-party vendors, but these statistics will include no personal data.

Surveys

From time-to-time we may provide you the opportunity to participate in surveys. Participation in these surveys is completely voluntary and you therefore have a choice whether or not to disclose this information. The requested information typically includes contact information, such as email or phone number. We use this information to improve our Service to send our customers update on how we are improving the Service based on their feedback.

Protecting Your Information

Workstars maintains reasonable security measures to protect your information from loss, destruction, misuse, unauthorized access or disclosure. These technologies help ensure that your data is safe, secure, and only available to you and to those you provided authorized access. When you enter sensitive information (such as your login information) on our portal or connect to our Service, we encrypt the transmission of that information using Transport Layer Security (TLS). If you have any questions about security on our portal, you can contact us at security@workstars.com.

Use of Cookies

We use session “cookies” to allow the portal or Service to uniquely identify your browser while you are logged in and to enable Workstars to process your online transactions. We do not link the information we store in cookies to personal data you submit while using the portal other than the email address you provide. Session cookies also help us verify your identity and are required in order to use the Service. Workstars uses persistent cookies, that only Workstars can read and use, to identify you as a valid user of one of our clients and make it easier for you to log in to the Service. Analytical cookies and similar technologies are also used to allow Workstars to recognise how users move around the portal and the Service when they’re using it. We use this information, which is aggregated and does not uniquely identify end users, to analyze trends, to troubleshoot the portal and Service, to track end users’ movements while on the site and to gather demographic information about our user base as a whole. This helps us improve the overall user experience.

We use the following cookies on our portal:
